The Expense Approval routine integrates Petty Cash Maintenance and Petty Cash Transactions to the fixed fund jurisdiction control process, for the approval of expenses.

You can move bills in Related Features, in the Approve Bills, Cancel, Superior, Transfer Superior and Temporary Leave options.

Petty Cash expenses and replenishment are approved by a superior, previously registered in Financial Manager associated to Approver vs. Superior, according to established limits and the available balance.

To associate the approval to the Financial Manager, you must fill out the Petty Cash Transaction Approver Code field.

Important:

  • Only the Financial Manager in charge of approvals can Cancel the Approved Transactions. If absent, the authorization can be transferred to another Financial Manager.
  • To use this feature, set the Configurator in the MV_FINCTAL parameter to 2.

Important:

The routine for approving expenses, advances and the rendering of petty cash accounts has 2 approval methods, depending on the setting of parameter MV_FINCTAL.

If parameter MV_FINCTAL is set to 1 - Simple Release - the options search, manual release, automatic release, cancellation and caption are displayed.

The System records, in petty cash transactions, the release date and the name of the user responsible for the release.


If set to 2 - Competence - the options available are: search, view, balance query, bill release, cancellation, superior release, transfer to superior and temporary leave are redefined.

Thus, the system submits transactions to competence evaluations for approval by analysts and managers, based on the balance available, respecting the Fixed Fund concept.


Approval Cancellation - Offline Petty Cash Balance Update

With competence control active (MV_FINCTAL = 2) , when canceling an approval, the petty cash balance is not approved Online, so in order to correctly adjust it, you must perform the 

petty cash balance recalculation.
