Receipt Parameters Maintenance

General:

Field

Description

Validate ledger accounts

When enabled, it indicates that the Receipt module will present the validations regarding the ledger accounts and cost center in a more detailed way when updating the fiscal document.

Multiple natures

When enabled, it indicates that the Multiple Nature functionality will be used in document line items.

Important

When enabled, the operation is irreversible.

Suggest withheld taxes trade note

When enabled, it indicates that withheld and excised taxes will be suggested automatically during the generation of tax trade notes.

Important

Excised taxes can only be suggested when using the tax configurator.

Use FASB currency transaction date

When enabled, it determines that the transaction date should be used for the FASB currency quotation on receipt.

Note

This field must be checked when, in the Accounts Payable (APB) Module, FASB has not been implemented.

In this situation, Accounts Payable uses the rate from the document's transaction date, which can generate a difference in the alternative currency amounts, if this field is not checked.

Use RGA

When selected, indicates that the Receipt module will work with the RGA concept. This parameter is only valid for the international product.

Use series

When selected, indicates that the Receipt module will work using the concept of series for inflow documents. When unselected, the standard series must be entered.

Standard series

Enter the default series for generating the inflow documents, when it is indicated that Receipt Does Not Use Series.

Allow Remitt Currency diff from Order

When checked, indicates that the generation of remittances with a different currency than the one registered for the sales order should be allowed.

Consider expenses as item cost

When checked, indicates that freight, insurance, and other expenses reported for the inflow document make up the cost of the item. When this parameter is not checked, these expenses are not included as item cost.

Consider tax as item cost

When checked, indicates that the value-added tax (VAT) entered for the item makes up the cost of the item. When this parameter is deselected, the tax is not included as an item cost.

Item difference rounding

If enabled, the item must be entered.

Account difference rounding

If enabled, the account must be entered.

Cost center difference rounding

If enabled, the cost center must be entered.

Integrations:

Field

Description

WMS

When enabled, it indicates that the Receipt module integrates its information with the Warehouse Management System (WMS).

Important

When receiving materials, whether physical or fiscal, a warehouse will be defined to which the item in question will be forwarded. If it is selected, in the Storage Warehouse Maintenance program (CD0601), as WMS Warehouse, a WMS inflow document will be generated with the item sequences and the storage suggestion in the invoice update.

Accounting x GFE

When enabled, it determines that CTEs from GFE origin, when updated by Receipt, that have only Direct Debit items, will be integrated directly into accounting through a daily update routine. In this case, the accounting will be done by the Receipt itself with the expense accounting entries of the Freight Document.

Important

This option is enabled only when the Global Parameters function (CD0101) indicates that the TOTVS Logistics Shipper Freight  (GFE) module is implemented.

When checked, the GFE must also be configured, in which the option 2=Freight Document (Receipt) must be selected, from the parameter Sales Freight Accounting (MV_DSCTB), which is available in the Accounting aggregator of the Datasul Integration tab, in the Module Parameters program (GFEX000).

Accounts payable

Select whether the data generated through Receipt will be integrated or exported to Accounts Payable. Options available:

·   Integra - When selected, indicates that the system will update the bills in the Accounts Payable module when the invoices are updated in Receipt through the Invoice Updating program (RE1005).

·   Export - When selected, indicates that invoices will only be updated in the Accounts Payable module through the Accounts Payable Update program (RE0404), which will create a text file with the information contained in the invoice.

Physical Receipt:

Field:

Description

Convert issuer qty

When checked, after the company quantity information, the Receipt converts back to the supplier quantity according to the conversion factor.

If it is not checked, the conversion must be done manually in the Conversion Factors Registration program (CD0902). After the Conversion is done, the factor will be entered in the Items per supplier program (CC0105).

Note

The conversion factor is used when there is no record of the item x supplier relationship. This makes the information available for stock items or when it comes to direct application items, which have no item x supplier relationship due to the large volume of purchases with different suppliers.

Apportion total discount

When checked, invoices handled by this user will have the discount prorated among the items.

Note

If it is not checked, the apportionment will be done manually, informing the discount value item by item, or the discount from the purchase order will be assumed (whenever it exists).

Supplier with restriction document

When checked, it determines that the system should perform a supplier restriction check.

Purchases

Receive NF without posting order

When checked, indicates that the user receives the tax documents without the requirement to enter the purchase order number when entering the tax document items.

Receive order other supplier

When checked, indicates that, when entering or typing the invoice, orders will be received from a supplier other than the one indicated on the original purchase order.

Note

In the fields Other Supplier Order and Same Matrix Supplier Order, only one or none of the fields can be checked simultaneously. If one of them is checked, the system automatically unchecks the other.

Receive with variation

When checked, indicates that this user has permission to receive items that vary in quantity and/or value from the purchase order. The percentage and amount of variation that can be received by the user is parameterized through the Receipt Items Maintenance program (RE0106).

For more details, check Variation of Quantity and Value at Receipt.

Close purchase installment

When checked, it indicates that the user can close the purchase installments being received.

Reopen purchase installment

When checked, it indicates that the purchase order can be reopened.

Receive order same supplier matrix

When checked, indicates that, when entering or typing the invoice, orders will be received from a supplier other than the one indicated in the original purchase order, but with the restriction that the order supplier is from the same parent company as the invoice supplier.

Note

The supplier matrix is registered in Supplier Maintenance (CD0401).

In the fields Other Supplier Order and Same Matrix Supplier Order, only one or none of the fields can be checked simultaneously. If one of them is checked, the system automatically unchecks the other.

Delivery date maximum range

Enter the number of calendar days that define the maximum allowable range to deliver the item from the purchase order date.

Purchase order FIFO

When checked, indicates that you can use the FIFO program in the Receipt. In this program, the Receipt groups several purchase orders in the same sequence of the invoice item. Grouping takes place from the purchase orders with the oldest delivery date to the most recent ones.

Consider purchase order FIFO value

When checked, indicates that, besides being considered for FIFO of the purchase orders, only the installments of the purchase order that have the same unit value for the item will be considered.

Note

This field is enabled only when the FIFO on the Purchase Orders field is checked.

Apportion FIFO quantity difference

When checked, it determines that the difference between the quantity received and the balance of the purchase orders should be apportioned among the orders being received. In this case, the system performs the consistency check to see if the Receipt is within the allowed variation.

When it is not checked, it determines that FIFO should be done up to the balance limit of the purchase orders. In this case, when the quantity received is larger than the purchase order balance quantity, the Receipt is only confirmed if the user is allowed to receive without lowering the purchase order.

Note

This field is enabled only when the FIFO on the Purchase Orders field is checked.

Trade Notes

Type for expenses

Enter the acronym of the type of document to be generated in Accounts Payable by typing accessory expenses.

If not checked, after typing the inflow document, the user must access the trade note folder and click the Include button.

Leasing Contract

When checked, indicates that the "Lessor" and "Leasing contract" fields will be enabled in the program RE1001a1 - Modify Document tab "Document II".

Use tax configurator in withheld taxes

When checked, it determines the intention to use the Tax Configurator to suggest withheld and excised taxes.

If not checked, the system stops using the Tax Configurator but continues suggesting the withheld taxes according to the parameterization done in the Financial Supplier, as long as the parameter Suggest Trade Note Withheld Tax.

Note

This field is only enabled when, in the Receipt Parameters (RE0103), the Suggest Trade Note Withheld Tax parameter is checked.

Verify divergence trade notes x payment term

When checked, determines that the system should perform a variance check of the trade note information against the purchase order or supplier payment term information when no purchase order is reported. If there is a difference, you cannot update the document.

When not checked, the system does not perform this verification, allowing the document to be updated regardless of whether the payment term entered for the document is the same or different from the payment term entered in the purchase order, or from the supplier, when no purchase order is entered.

Allowed variance

When the trade note has a difference more or less than calculated, the difference value can be entered by the user in this field. If zero is entered, a difference between the trade note value and the one entered in the system will continue not to be accepted. The value entered can always be "over" or "under" and is value variation.

This field will only be enabled when the parameter "Verify Trade Note x Payment Term Divergences" is marked. Otherwise, it will always be disabled.

Note

The maximum value of the variation allowed is 9.99 more or less.

Update Nf-e automatically

When checked, indicates that the tax document will be updated online upon approval by the SEFAZ.

Update OF with invalid NF-e

When checked, indicates that the electronic invoice will be updated in the Tax Liabilities module even if an invalid key is entered or the SEFAZ system is down.

Note

When an invalid NF-e is updated in tax liabilities, a warning message will be displayed alerting that the note is invalid.

Update NF-e with Invalid DANFE

When checked, it is allowed to update electronic documents in tax receipt when the message DANFE invalid in the validation of the NF-e or CT-e access key occurs.

Important

The system respects the specific parameter for the update of invalid NF-e of the Tax Liabilities module; if the Tax Liabilities (OF) parameter is not marked, the integration with OF is not performed.

When the return of the validation of the NF-e/CT-e access key is the invalid DANFE message, the results below will be presented, according to each parameter:

Update OF invalid NF-e

Update NF-e with Invalid DANFE

Result in the update of the Tax Receipt and integration with Tax Liabilities

Unchecked

Unchecked

The system does not allow you to update the NF-e. A message appears in the run report saying that the access key query returned "Invalid DANFE". This is the recommended scenario, since only valid invoices will be updated.

Unchecked

Checked

The system allows you to update the NF-e, but does not allow integration with tax liabilities. A message will appear in the run report saying that the access key query returned "Invalid DANFE".

Checked

Unchecked

The system does not allow you to update the NF-e, displaying the message Invalid DANFE in the run report. If the NF-e has been previously updated without OF integration, OF integration via RE0405 will be allowed, because the OF parameter is checked. This parameterization is not recommended.

Checked

Checked

The system allows you to update the NF-e and can also integrate with Fiscal Liabilities if parameterized. A message will appear in the run report saying that the access key query returned "Invalid DANFE". This parameterization is not recommended except in cases where there are communication divergences with the SEFAZ, in which the return is a rejection of "Invalid certificate", for example.

Enable recipient manifest

When checked, indicates whether the Receipt user has permission to perform the manifest, valid for the monitor and the entire new process.

Outdate GFE entry

When checked, indicates that the Outdating of Documents (RE0402) with Logistics Shipper Freight (GFE) source will be allowed.

Important

This validation is exclusive for documents originating in the GFE. The other documents already follow the existing rules.

Consignation entry valuation

Select one of the options that define how the valuation of materials entering the site on consignment is performed. Options available:

·   Average: the valuation will be performed based on the average cost of the item.

·   Entered: the valuation will be performed when the invoice is updated, and the stock transactions will already be valued. During the calculation and de-calculation of the average price, these invoices will not be valued.

Note

The consignment price adjustment invoices, when reported, generate a stock transaction with the amount being adjusted (cost).

Update with error

When checked, it indicates that the tax documents will be updated even if they have errors.

Update with warning

When checked, indicates that the tax documents will be updated with warnings for amounts outside the allowed range.

Update with trade note error

When checked, indicates that the tax documents that have errors in their trade notes will be updated.

Note

When updating the inflow document in the Receipt, the trade notes reported for the inflow document will be matched with the payment term entered for the purchase orders. If you have not entered a condition for the order, the vendor's payment condition will be taken.

When any of the compared information does not match the entered trade notes, an error message is displayed alerting you to the fact. You are only allowed to update the document when this parameter is selected. Otherwise, you cannot update the inflow document.

Update closed managerial

A parameter to identify the users that can change/delete/include A/P invoices in periods when the managerial is already closed, but the tax is still open.

Outdate more business document

Allows the user to outdate a document with a blocked credit memo in the TOTVS Techfin More Business integration. When this field is deselected, the document is blocked from being updated until the credit memo has the same status as the released one.

Note

This field is only available when the TOTVS MORE BUSINESS function is active.

Validations

Validate ledger accounts

When checked, it indicates that the Receipt module will present more detailed validation regarding ledger accounts in the tax document update.

NF-e/CT-e access key asynchronous access

When checked, it indicates that the asynchronous access key validation will be enabled when updating the tax receipt.

Note

This field will be available for change only in version 2.0 of TOTVS Collaboration.

Receive on TAG xPed (NF-e)

Allows you to indicate whether the system will understand the reading of the xPed TAG as a Purchase Request or a Purchase Order.

By default, this information is configured as Purchase Request.

When parameterized as "Purchase Order", the supplier must send the content referring to the purchase order in the xPed TAG when issuing the NF-e.

Important

When you choose to parameterize the reading of the "xPed" tag as Purchase Order, the reading of the "nItemPed" tag will be ignored.
