Calculation of Credit/Debit Notes - FT4020

Program Overview

This function was created to make it possible to issue linked or unlinked credit and debit notes, allowing you to generate returns, credit a certain amount to the customer, or collect underbilled amounts.

Important

Additional expenses must be mandatorily linked to the invoice in the case of credit or debit notes where there should be a reversal.

Note


The numeric control of the pre-printed form allows the user to verify before the document is generated in the system if the credit/debit note number to be printed corresponds to the number of the pre-printed form.

The user will have the possibility to continue with the printing process or cancel it. By interrupting it, the user can access the Fiscal Series Maintenance (FT0114) and correct the number of the last note printed; or cancel the use of the number in the Fiscal Number Reservation Maintenance (FT0316). That way, you can then print the invoice with a number consistent with the pre-printed form.

Important

  • The numerical control will be made only for credit/debit notes whose Operation Type has automatic printing.
  • Numeric control will not be performed in the invoice generation processes via batch.

Credit/Debit Note Calculation Screen - Items Folder

Purpose of the Screen:

Allow the necessary calculation for issuing Credit or Debit Notes.

Invoice Calculation

By pressing this button, the Invoice Calculation Confirmation screen (FT4022) appears, in which the user confirms the generation of the invoice based on the related item data. Check more details in its description.

Simulation of invoice calculation

By pressing this button, a report is generated with the simulation of the values contained in the invoice.

Add

By pressing this button, the Debit/Credit Memo Items function - FT4021 is displayed, in which the user can enter the invoice items.  See more details in the description of the function Items of the Debit/Credit Note.

Note

This button is only enabled for unlinked notes.

Edit

By pressing this button, the Debit/Credit Memo Items - FT4021 function is displayed, in which the user can make the necessary changes to the selected sequence.

When it is an expense note, the Cred/Deb Note Item Business Unit - FT4024 screen appears, where the user can change the business unit.

Delete

When this button is pressed, the selected sequence is deleted. 

Note

The program will prompt the following question: Confirm record deletion?

CFDI Replacement


When activated, the CFDI Replacement - MEX0048  screen is displayed, so you can enter the canceled receipt.

Displays the invoice registration sequence. 

Invoice Type

Displays the type of note issued.  Options available:

    • Credit Note;
    • Debit Note.


Note

For notes registered as Expense Only, the note type can be:

  • Expense credit note
  • Expense debit note 

Site

Displays the code of the site that issued the note. 

Operation Nature

Displays the note's operation nature. 

Customer/Supplier

Displays the abbreviated name of the note customer/supplier. 

Issue Date

Displays the note's issue date. 

Seq

Displays the item sequence in the credit/debit note.

Item

Displays the code of the note item. 

Ref

Displays the note item's reference. 

Oper Src

Displays the code of the operation nature used for the item. 

Qty

Displays the requested quantity of the item for the note in question. 

MU

Displays the measurement unit in which the item was requested. 

Net Pri

Displays the item's net price. 

Net Merch Vl

Displays the item's net merchandise value.


Credit/Debit Note Data Screen 

Purpose of the Screen:

Allow you to register information referring to the note.


Main Fields and Parameters:

Invoice Type

Select the type of note to be calculated.  Options available:

  • Credit Note;
  • Debit Note. 

Disc tp


When selected, this indicates that the credit note will be by bonus.

Only expense

When selected, this indicates that the credit or debit note will only be used to record its expenses. 

Site

Select the default site code defined in the Order Parameters (PD0301A). 

Series


Select the series to be considered for the calculation. 

Operation Nature


Select the code of the operation nature to be considered for the calculation. 

Customer/Supplier

Select the code of the Customer or Supplier for which you want to calculate the document. 

Issue Date

Enter the issue date of the calculation. 

Orig Inv No.

Select the base invoice number for linked note issuance, or leave it blank for unlinked note issuance.

Important

  • For linked notes, only one base invoice can be entered;
  • The base invoice cannot be a Credit or Debit note.
  • After the confirmation, the original invoice cannot be changed.

Original series


Select the base note series for linked note issuance, or leave blank for unlinked note issuance.

Difference %

Enter the difference percentage to be considered for the document.

Important

For Credit Notes, the difference percentage can be 0 (zero). In this case, the original invoice items are included in the Credit Note with zeroed quantities. That way, you can enter the desired quantities for each item. Items whose quantities remain equal to 0 (zero) will not be considered when calculating the note.

Add value

Enter the value to be considered for the debit calculation.

Note

The Credit Note cannot be returned by value.

Invoice Branch


Enter the number of the branch of the invoice. This value is presented automatically according to the value defined for the series entered.

Point of Sale


Enter the number of the invoice's point of sale. This value is presented automatically according to the value defined for the series entered.

Prefix


Enter the invoice prefix. This value is automatically calculated by the program and presents the concatenated Invoice Branch and Point of Sale data.

Note


Debit and Credit Note numbering is parameterized in the Document Numbering function (FT4000).


The Debit and Credit Note numbering is parameterized in the Series x Site Maintenance function - FT0114.

Credit/Debit Note General Data Screen – Main Folder

Purpose of the Screen:

Allow you to register the main information referring to the note.


Main Fields and Parameters:

Site

Displays the code of the site that issued the note. 

Issue Date

Displays the note's issue date.

Series


Displays the note series.

Customer/Supplier

Displays the abbreviated name of the note customer/supplier.

Orig Inv No.

Displays the original number of the invoice related to the calculation.

Currency

Select the code of the currency used in the original document.

Note

This field will be enabled to include the currency to be considered in the calculation of the note for unlinked notes; for linked notes, this field will assume the billing currency of the original invoice.

Commission reverse

When checked, this indicates that the credit/debit note reverses the sales representatives' commission.

Original series


Select the base note series for linked note issuance, or leave blank for unlinked note issuance.

Discount type


When selected, this indicates that the credit note will be by bonus.

Cancellation Note


Allows you to indicate whether the informed credit or debit note corresponds to a cancellation of the original invoice.

This field is enabled only for invoices whose series is of type "MiPyme" and which are of type Credit Note or Debit Note. Plus, the linked invoice must be in the status "Rejected".

Partial Credit note


This indicates that the note is not for the full cancellation of the invoice that originated the operation.

Only Expense

When checked, indicates that the debit/credit note is only for registering its expenses.

Reopen Packing Slip/Shipment/Order for Billing

When checked, indicates that the credit note will reopen the linked invoice's packing slip, shipment, and order, allowing a new billing of the packing slip and/or order/shipment.

This parameter will be enabled when it is a credit note (CN), the CN has a linked invoice, and this invoice has a linked packing slip or purchase order. This parameter will not be enabled when the linked invoice is an anticipated billing.

The original invoice linked will not be canceled.

Operation Nature

Displays the operation nature to be used when calculating the note.

Sales Channel

Select the code of the sales channel corresponding to the calculation.

Price List

Select the code of the price list used for the calculation.

Message

Select the code of the message to be printed on the note.

Payment term

Select the code of the payment term to be considered in the calculation.

Bonus

Enter the bonus to be used when calculating the note.

Discount

Enter the discount to be applied when calculating the note.

Use discount table

When selected, this indicates that the discount table will be used for the document.

Use CFDI


Enter the CFDI (Digital Tax Receipt via the Internet) use code according to the registration made in the CFDI Use Type Maintenance program (MX0101).

Note

Filling out this field is necessary so that the code is informed in the XML file of the Electronic Invoice.

Export Rate

Enter the rate to be used in the document.

Information

If the credit/debit note does not have a linked invoice, the suggested value will be the one registered in the program Currency_Quotation_Maintenance_CD0103.

If the credit/debit note has a linked invoice, the suggested value will be the one used in the original invoice.

Exp Process No


Enter the number of the export process for the invoice in question.

Payment Method


Enter the payment method of the credit/debit note.

Reason


Select the credit/debit note reason.
The options are:

For credit notes:

  • Return of part of the goods; no acceptance of parts of the service
  • Cancellation of electronic invoice
  • Total reduction applied
  • Total discount applied
  • Termination: annulment due to lack of requirements
  • Others

For debit notes:

  • Interests
  • Expenses to collect
  • Value Change
  • Others

MiPyme Trans Tp


Enter the option that identifies the MiPyme transaction type to be performed. The options are:

  • Open Circulation System (SCA)
  • Collective Deposit Agent (ADC).

    Note

    The field will be enabled if the series used is from MiPyME.

    When you add a document, the value entered for the linked invoice is displayed. If it has no value, it will be displayed as parameterized in the program Additional_Customer_Vendor_Data_-_ARG0009.

Credit/Debit Note General Data Screen – Address Folder

Purpose of the Screen:

Allow you to record information referring to the customer's address.

Complete Address

Enter the complement to the customer's shipping address to make it easier to locate. 

Address

Enter the shipping address corresponding to the customer entered.

Enter the postal code of the customer's shipping address. 

City

Select the city. 

State

Select the State corresponding to the customer's shipping address. 

Country

Select the country of the customer's shipping address. 

CIF City

Enter the CIF City of the customer's shipping address. 

Zip

Enter the postal code of the CIF city of the customer's shipping address. 

CNPJ

Enter the customer's federal registration number. 

Tax Exemption No

Enter the customer's state registration number.

C.U.I.T.


Enter the C.U.I.T. number. (Single Key of Tax Identification).

Credit/Debit Note General Data Screen – Note Folder

Purpose of the Screen:

Allow you to register notes referring to the debit/credit note.

This button will be enabled only for product sales notes in which item values are already entered.

By means of this button, you will reach the screen Note Calculation - Representatives (FT4008), where the data corresponding to the selected representative will be modified.  Check more details in its description.

Note

Delete

Pressing this button deletes the selected representative.

Notes Calculation Screen - Representatives

Purpose of the Screen:

Allow you to register notes referring to the representative.


Main Fields and Parameters:

Representative

Select the code of the representative. 

Representative Commission %

Enter the representative's total commission percentage.

Note

The total percentage of the representative's commission cannot be lower than the minimum commission defined for them in the Representative Maintenance function (CD0708).

Issuance Commission

Enter the percentage of commission that will be paid to the representative when the order is issued. 

Total Commission %

Displays the total percentage of commission on the invoice being issued.

Note

The commission percentages of all registered representatives for the respective invoice will be added together.

Credit/Debit Note Calculation Screen – Trade Notes Folder

Purpose of the Screen:

Allow you to register information referring to the trade notes.

Add

When this button is pressed, the Doc Calculation - Invoices screen (FT4006) is presented, where it will be possible to include the trade note installments referring to the invoice entered.  Check more details in its description. 

Edit

With the activation of this button, the Doc Calculation - Invoices screen (FT4006) is presented, where the necessary changes in the selected trade note installment will be performed. 

Delete

This button deletes the selected trade note installment.

Note

The program will prompt the following question: Confirm record deletion?

Recalculate Invoice Total

This button automatically recalculates the total invoice value.

Note

The buttons described above will be enabled if there is trade note generation and the payment term is equal to "Entered Payment Term".

Displays the trade note's net value.

Displays the trade note's commission value.

Note

The values of the trade note installments are calculated according to the expenses collection criteria defined in the field Expense Collection Tp, function Billing Parameters Maintenance (FT0301A).

Doc Calculation – Invoices Screen

Purpose of the Screen:

Allow you to register information referring to the trade notes.


Main Fields and Parameters:

Inv No

Displays the number of the trade note to be generated. 

Sch

Displays the installment of the trade note entered above. This data can be changed. 

Due Dt Cd

Select the due date condition for the trade note. 

Due Date

Enter the due date of the trade note installment. 

Discount Dt

Enter the maximum due date for conceding a discount on the trade note. 

Discount Amt

Enter, if existing, the discount value to be applied to the trade note. 

Net Amount

Enter the trade note's net amount. 

Commission

Enter the trade note commission value. 

Invoice Total

Displays the total value of the trade note. 

Document Total

Displays the total amount of the document, adding up the value of all trade note installments.

Credit/Debit Notes Calculation Screen - Expenses Folder

Purpose of the Screen:

Allow you to register information referring to expenses.

Note

When the source note is entered, the system will bring the expenses that already exist in the note, and the user can also include new expenses and/or modify/exclude existing ones.

If the source note is not entered, the user must include the expenses to be credited or debited to the customer.

When the note is a credit/debit note (not an expense), and the user has entered the source note, the Expenses folder will be blank, since the notes are at note level and not item level. To change these expenses, the user must access the Add option.  The system will prompt the user to bring the expenses from the source note. If so, the expenses will be shown to the user, and the user can change them, delete them, or add new expenses.

If the note is a credit/debit note (not an expense), and the user has not entered the source note, the Expenses folder will be blank, and the user can add new expenses.

Displays the total value of the taxes defined for the invoice. 

Taxes


Select the view type for taxes corresponding to the invoice. The options are:

  • Total – only the taxes' totals are presented;
  • Details – taxes are presented with details. 

Seq


Displays the tax sequence in the invoice. 

Item


Displays the code of the invoice item. 

Jurisdiction Code


Displays the tax jurisdiction code. 

Rate


Displays the tax percentage to be considered for the jurisdiction. 

Calcltn type


Displays the type of tax calculation to be applied to the item. 

Base Tax %


Displays the reduction percentage of the tax calculation base for the item. 

Tax Base Vl


Displays the base amount for tax calculation.

Tax Amount


Displays the tax amount calculated on the base value.

Exemption Certificate Code


Displays the code of the exemption certificate, in case the item has tax exemption.

Tax code


Displays the code of the tax used when calculating the invoice.

Description


Displays the description of the tax used when calculating the invoice.

Percentage


Displays the percentage of the tax used when calculating the invoice.

Tax basis value


Displays the base value used for calculating the tax on the invoice.

Tax Value


Displays the calculated value for the tax in the invoice.
