Speaking of configuring process and task charts...

This window allows producing management charts to query the status of requests and tasks. In addition to accurately monitoring the execution of your requests so that you can meet the deadlines set for processes and tasks. Go to our FAQ for more details on how to configure the Process and task chart widget correctly.


Configure Process and task charts widget


01. After adding the widget, define the settings of your choosing for it.

Chart title: Add a title/name for the chart.

Templates: Here are some predefined templates with some settings that you can use:

  • Status of the activities: Allows a more in-depth analysis of the activities regarding one or more processes. It enables you to check the most delayed tasks and the person in charge of them.
  • Request load: Enables you to check the progress of requests grouped by process, streamlining and simplifying the way to view requests that are within the deadline, notified and delayed.
  • Tasks about to expire: This option creates a calendar with completion dates and requests whose tasks are about to expire, making it easy to control the tasks that will be delayed.
  • Requests about to expire: This option works similarly to the “Tasks about to expire” template, also generating a calendar with completion dates, however, it is does not display dates close to the expiration dates of the tasks, only the deadlines for the requests about to expire.
  • Status of requests: This option allows a more in-depth analysis of the requests for one or more processes. It enables you to check the most delayed requests as well as the person in charge of them.

Select one of the available sources:

  • Requests.
  • Tasks

When selecting the “Tasks” source, you are only allowed to select in order to group by ”Status” or “By completion date”. Select the type of task or request to be viewed:

  • That I am the requester
  • That I am in charge of
  • That is under my management

Group: Select the group of requests or tasks to be viewed by:

  • Status: This collator will be used to analyze the tasks/requests by its status: Open, Completed or Canceled.
  • Process: This option is available only when selecting the same source “Requests”.
  • Completion date: This collator will be used to analyze the tasks/requests about to expire.

When selecting to group By completion date, some options will have their value defined and locked for editing in order to work properly. The options are as follows:

  • Status: Takes the “All statuses” value
  • Status: Takes the “Open” value
  • That delay: Some options will be deleted, only allowing selection from: Today, This week, This month, This year and During the period.

Filters

  • Status: Select the status of the tasks or requests to be viewed.
    • All statuses
    • Within the deadline
    • Notified
    • Delayed
  • Status: Select the status of the requests or tasks to be viewed.
    • Open
    • Canceled
    • Finished
  • That delay: Select the delay time of the tasks or requests to be viewed, as follows:
    • Any date
    • Today
    • Yesterday
    • This week
    • Last week
    • This month
    • Last month
    • This year
    • Last year
    • During the period

When selecting this option, it allows you to define the start and end dates of a period and filter the tasks or requests by using the From and To fields.

  • Requester’s location: Allows you to select one or more locations for the requester, either Default or one that has already being configured.
  • Person in charge’s location: Allows you to select one or more locations for the person in charge, either Default or one that has already being configured.
  • Process: Enables you to select one or several existing processes from the list displayed when clicking the field, so that only the data selected in the filter regarding this process are displayed.
  • Form field: If the selected process has a configured form, you can select a field and define a value for this field (only when selecting 1 process).

The filter allows you to enter more than one value per field. When selecting a field, “Area”, for example, its value can be “hr, administrative, sales”, separated by a comma.

  • Filter general options: In this item, you can define whether other users can change the data that is already configured in the chart.

Chart

  • Chart size: Enables you to define the size of the chart when displaying it: Small, Medium or Large.
  • Chart type: Enables you to define the type of chart to be displayed, choosing from the following ones:
    • Pizza charts: Available only when selecting the group “By status”.
    • Radar charts: Available only when selecting the group “By status”.
    • Donut charts: Available only when selecting the group “By status”.
    • Vertical bar charts: Available only when selecting the group “By process or By completion date”.
    • Horizontal bar charts: Available only when selecting the group “By process or By completion date”.
  • Global filter message: This message is for exclusive use in the “Filter for process and task charts” widget, its contents will be the message that you should receive to be updated.
  • Other display options: Allows enabling or disabling the following options in the chart:
    • Enable caption: Allows the chart caption to be (or not) enabled for viewing.
    • Enable animation: Allows showing (or not) animations while loading tasks or requests.

Enable export button: Allows showing the Export field on the list of tasks or requests

02. Click Save.



Edit widget permission


01. After adding the widget, click on Edit permission, located in the top right corner of the widget, next to Enable on the mobile application

When clicking this option, it displays the Widget permissions screen, on which you can define its access criteria. For more information, see Widget permissions.

02. Click Apply Changes.
